From Stuck at $100K to $200K/Month — Here's What Actually Changed

I sat down with Daavi Gazelle at our Q1 Olympia Mastermind to break down exactly how his business doubled from $100K to $200K a month. No fluff. Just what moved the needle.

Daavi runs an executive coaching business for burned-out physicians. His mom, Dr. Gazelle, is the face of the offer — she taught at Harvard Medical School, practiced for 25 years, and has been coaching doctors for 15. They've coached over a thousand physicians. The mission is real: 49% of doctors self-report as burned out. That's not a niche, that's a crisis.

But despite a rock-solid offer, they were stuck. Couldn't break past $100K. Revenue was flat, lead flow was inconsistent, and Daavi was drowning.

The Founder Was the Bottleneck

The first thing I told Daavi when he joined Olympia was blunt: get out of sales, yesterday.

He was running ads, managing setters, handling fulfillment, AND taking sales calls. Classic founder-led everything. It's ironic — he's selling a program for burned-out doctors while being completely burned out himself.

We went through Crowley's founder-led sales training, and I walked him through every step: how to source closer applicants, how to vet them, how to onboard them, and how to build a repeatable sales process. Once a good closer was in place and Daavi stepped back, he immediately had more leverage.

That one move alone changed the trajectory.

The Avatar Fix That Nobody Talks About

Here's something most people miss: not all avatars are created equal.

Daavi was running ads to both male and female physicians. When I asked him to split the data, the answer was obvious. Male prospects had a lower show-up rate, lower close rate, and lower average ticket. Female physicians were converting better, paying more, and getting better results.

They were essentially leaving money on the table by diluting ad spend across an underperforming avatar. Once we cut male-targeted ads and leaned into female physicians, the economics improved immediately.

Always split your avatar data. One segment is almost always outperforming the other.

The Ad Numbers (Real Ones)

Here's where things get concrete:

  • Ad spend: $1,000/day ($30K/month)

  • Cost per booked call: ~$400

  • Cost to acquire a customer: ~$2,000

  • Average front-end ticket: $8,000–$10,000

  • Calls booked per week: 25

That's a 4–5x return on ad spend just on the front end. And the back end — a higher-ticket continuity offer — is still being built out, which will extend LTV significantly.

The closer is currently at capacity at 25 calls a week. That's not a marketing problem. That's a hiring problem. To get to $300K/month, the play is simple: hire another closer. To get to $1M/month, you probably need around nine closers and scale ad spend proportionally.

Show Rate Is a Real Constraint — But Not the Main Lever

Daavi's show rate was sitting at 47%. We talked about it, but here's what I want to be clear about: obsessing over show rate is a trap.

Yes, you can improve it. Get your mom to film some long-form content and send it before the call. Make sure people actually accept the calendar invite. Manually text leads. Pay setters based on show rate so they're actually motivated to get people on the call — not just booking them and forgetting about them.

Realistically, you can push show rate to maybe 60%. That's meaningful. But it's not going to move the needle by millions. We broke it down on a one-on-one call — the upsell path and adding another closer are worth exponentially more than chasing show rate.

Focus on the levers that actually compound.

Simplify Pricing. Seriously.

When Daavi joined, he had six different price points. No logical structure. Just confusion — for the prospect and the closer.

We cut it down to three. Simplified pricing builds trust and makes the closer's job dramatically easier. If your pricing sheet looks like a menu at Cheesecake Factory, that's a problem.

Wide Availability Wins Every Time

One principle I keep running into across every business I work with: wide availability decreases cost per call. Every single time.

When setters are offering narrow windows, prospects pick times that don't actually work for them. The result is no-shows. The fix is training your setters to actively find the best time — not just the first available slot. Something as simple as "we have availability morning, afternoon, and evening — what actually works best for you?" can move the needle.

This applies whether you're running a two-call close or sending people straight to a closer.

The Takeaway

Daavi went from a mom-and-son operation doing everything themselves to a business with a real backbone — a dedicated closer, a clean avatar, simplified pricing, and a clear path from $200K to $300K to $400K a month.

The jump from $100K to $200K happened fast once the foundation was right. December and January both hit $200K.
